Privacy Notice

Who we are

Reconnect is organised by a group of volunteer IHM Lucknow alumni. We decide what personal data we collect and why, so we are responsible for looking after it. You can reach us at ihmlkoalumni.community@gmail.com.

What we collect

• Registration form: your name, year of passing out, current city, mobile number, email, occupation, company (if you give it), designation, and whether you plan to attend. If you tick that you have paid your contribution, we also keep that and the UPI transaction ID if you give it, so we can match your payment.
• Performance nomination: your name, or the names of your group, the genre, what you would perform (if you say), and your mobile number.
• Along with each submission: the time you sent it and which version of this notice you agreed to.
• Network address: like any website, our hosting provider sees your IP address to deliver pages. We keep it briefly to stop the same person submitting the forms over and over.

If you register as attending, the organisers may also add a photo of you for the Attending page (see below). If you email us a photo for this, it is checked with an AI service (Anthropic) before an organiser posts it.

The gallery contains photos and videos from earlier Reconnects, added by the organisers. If you appear in one and would like it removed, email us and we will take it down.

We do not use advertising or tracking cookies. Your light or dark theme choice is stored in your own browser. Organisers who sign in receive a cookie that keeps them signed in.

Why we use it

Only to organise Reconnect: to plan numbers and the evening, to contact you about it, to keep track of who has paid their share, and to arrange stage acts. We do not use it for marketing, and we do not sell it or hand it to anyone else.

Who can see it

• The volunteer organisers, through a secure organiser login.
• The website runs on Cloudflare, a standard web hosting service.
• The organisers also keep a record of registrations in a private Google Sheet, shared only with the organising volunteers.
• Anyone visiting this website: if you register as attending, your name, year of passing out, designation and company (if you give one), and your photo if the organisers add one, are shown by default on the public Attending page. Nothing else about you is shown there. If you would rather not be listed, email ihmlkoalumni.community@gmail.com and we will take you off the page.

How long we keep it

Your details stay on this website until after the event and are then removed from it. The organisers keep a record of who registered in the private Google Sheet. You can ask us to delete your details from both at any time.

Your choices

You can ask us what we hold about you, ask us to correct it, ask us to erase it, or withdraw your agreement, at any time. Email ihmlkoalumni.community@gmail.com and we will reply as soon as we can. Withdrawing does not affect what we did with your details before you withdrew.

Who this is for

The registration is for adult alumni of IHM Lucknow. We do not knowingly collect information about children.

Changes

If we change this notice we will update the date above. If a change affects how we use your details in a way that needs your agreement, we will ask you again.
